Privacy & Confidentiality

Privacy Policy

Last updated November 5, 2026

This policy explains how Crew Watch handles sensitive site information, assignment details, photographs, and field reports, and the confidentiality commitments we make to every client.

1. Information We Collect

When you submit an assignment request, we collect the business name, contact name, phone number, email address, job site address, city and state, type of business, type of observation requested, the schedule you need, your description of what you want observed, and any special instructions.

In the course of an assignment we also generate or receive arrival and departure times, field notes, timestamps, authorized photographs, and the completed field report.

2. Sensitive Site Information

Site addresses, access instructions, gate codes, security arrangements, crew schedules, and operational details are treated as sensitive client information. We collect only what is needed to perform the assignment and to communicate with you about it.

We do not publish, market, or disclose site details or assignment specifics. Site information is not used for any purpose beyond completing the work you requested.

3. Confidentiality

Client identity, site locations, scope, and deliverables are confidential. Information is shared only with the Crew Watch personnel coordinating the work and the observer assigned to it, and only to the extent needed to perform the assignment.

Observers work under written standards that prohibit discussing an assignment with any third party, on site or afterward, including on social media.

4. Photographs and Reports

Authorized photographs and completed field reports are stored in restricted private storage. They are never posted publicly and are never used in marketing or sales materials without your written permission.

Reports and photographs are made available to you through time-limited access links and through the client portal. Access to these files is limited to authorized administrative personnel and to you.

5. Client Portal Access

The client portal requires a signed-in account. Assignment records shown in the portal are matched to the email address used on the assignment request, so only the account associated with that request can view its status and reports.

You are responsible for keeping your account credentials private. If you believe your account has been accessed without authorization, contact us and we will investigate.

6. Service Providers and Legal Requirements

We use service providers for hosting, private file storage, communications, and payment processing. They receive only the information necessary to provide those services.

We may disclose information where required by law, subpoena, court order, or a valid legal process, or where necessary to protect the safety of an observer or another person. Where permitted, we will notify you of such a request.

7. Retention and Deletion

Request records, reports, and photographs are retained for as long as needed to serve the client relationship and to meet legal, insurance, and accounting requirements.

You may request deletion of your contact information, or of a report and its photographs, subject to those requirements. We will confirm what was removed and identify anything we are required to retain.

8. Your Choices and Contact

You may request access to, correction of, or deletion of the information associated with your requests. We do not sell your information, and we do not use assignment details for advertising.

Confidentiality or privacy questions can be sent through the contact page, and a coordinator will respond within a reasonable period.
